Most quotes aren’t lost to a cheaper crew. They’re lost to silence. The customer got busy, the quote sank in their inbox, and the first crew to follow up got the job.
Following up isn’t pushy when it’s helpful. Here’s a rhythm that works for most trades.
The 1-3-7 rhythm
Send the quote within 24 hours of the visit, then a short text: “Just sent your quote. Happy to walk through it.”
Answer a question they didn’t ask: timing, materials, or a photo of a similar job.
“If the timing’s not right, no problem. Just let me know so I can hold the slot for someone else.”
What to say (and what not to)
Keep it short, friendly and about them. Skip “just checking in” and lead with something useful instead. Never discount in a follow-up unless they’ve asked. It teaches customers to wait you out.
“Hi Dana, I’ve got a crew free the week of the 18th. Want me to pencil you in while the slot’s open?”
Let the app do the remembering
You shouldn’t need sticky notes to remember who to call. Contruva sends these follow-ups on schedule, tells you when a customer opens the quote, and stops the moment they sign.
