Painting estimate software turns measurements and production rates into a priced, professional proposal you can send before you leave the customer’s driveway. The best tools let you build the estimate from your own rates, offer good-better-best options, collect an e-signature and deposit, and follow up automatically when the customer goes quiet. Dedicated estimators like PaintScout go deepest on the estimating maths; all-in-one apps like Contruva, Jobber and Housecall Pro cover estimating plus scheduling, invoicing and the rest of the business.
Which is right depends on where your jobs are being lost. If your numbers are wrong, you need a better estimating engine. If your numbers are fine but quotes go out late and nobody follows up, you need speed and follow-up more than a fancier calculator. Prices below were checked on each vendor’s site in November 2026.
What painting estimate software should do
| Must-have | Why it matters for painters |
|---|---|
| Production-rate pricing | Price walls, ceilings, trim and doors from your own square-feet-per-hour rates, not guesses |
| Material calculation | Gallons from coverage and coats, with your paint cost and markup |
| Options and upgrades | Good-better-best paint lines, or add-ons like ceilings and trim the customer can tick |
| Fast, branded proposals | Sent by text or email the same day, ideally from the walkthrough |
| E-signature and deposit | Turn a yes into a booked job before they call another painter |
| Automatic follow-ups | Most unanswered quotes are lost to silence, not price |
| Change orders | Extra rooms and colour changes priced and signed, not argued about |
| Estimate vs actual | Compare hours you quoted with hours your crew logged, so your rates improve |
The last row is the one most painters skip. Your production rates are only as good as the feedback loop. A tool that tracks crew hours against the estimate tells you which rates are too optimistic.
A worked interior estimate to test with
Run this same job through every tool you trial. It’s a worked example with assumed rates; use your own.
A 12 × 14 ft bedroom with 8 ft ceilings, two coats on walls and ceiling, one door, one window, standard trim.
| Item | Quantity | Rate (assumed) | Hours |
|---|---|---|---|
| Walls (perimeter 52 ft × 8 ft, less ~40 sq ft openings), 2 coats | 376 sq ft × 2 = 752 sq ft | 175 sq ft/hr | 4.3 |
| Ceiling, 2 coats | 168 sq ft × 2 = 336 sq ft | 125 sq ft/hr | 2.7 |
| Baseboard and casing | ~80 linear ft | 60 lf/hr | 1.3 |
| Door, both sides | 1 | 1 hr each | 1.0 |
| Prep, masking, patching, cleanup | Allowance | 2.0 | |
| Total labour | 11.3 hrs |
At a $75/hour billing rate, labour is about $848. Materials: about 2 gallons of wall paint, 1 of ceiling and 1 quart of trim at your cost, plus a markup. Suppose $260 in materials marked up 20% = $312. The quote comes to about $1,160 before tax. Offer a “better” option with premium paint and a “best” option that adds the closet.
A good tool should let you rebuild this in a few minutes, save it as a template for the next bedroom, and show the customer the options cleanly. If it takes longer than your spreadsheet, it’s not the right tool. For the full method, see how to bid a painting job.

PaintScout
Best for: painting companies whose main problem is estimating accuracy and presentation, especially with in-home sales reps.
PaintScout is built specifically for painting contractors. Its pricing page (USD, checked November 2026) lists the Sales platform at $99 a month billed annually or $119 monthly, covering estimates, proposals, payments, follow-ups and customer communication. An Operations add-on for job management and scheduling is $79 a month annually or $99 monthly, and team seats are listed at $20 per user per month. Onboarding is free, with optional paid success packages. There’s a 14-day free trial.
Its estimating features are deep: production-rate estimating, material lists, templates, optional upgrades, change orders and interactive proposals, plus Wisetack financing. The trade-off is that you’ll likely pair it with something else for phone answering, marketing and possibly invoicing workflow, and costs grow with seats and the Operations add-on.
Jobber
Best for: residential painters who want a proven all-round job management app.
Jobber isn’t painting-specific, but many painters use it. Plans (USD, checked November 2026) run from Core at $29 a month annually for one user to Plus at $699 a month with no commitment for 15 users, with extra users at $29. Quote options, online approval and deposits are standard. Its AI Receptionist ($29) and Marketing Suite ($99) are add-ons below Plus. You’ll build painting rates as line items rather than using a production-rate engine. Some painters pair Jobber with a dedicated estimator.
Housecall Pro
Best for: painters who also want consumer financing for larger exterior jobs.
Housecall Pro lists Basic at $59 USD a month annually (1 user), Essentials at $149 (5 users) and Max at $299 (8 users), checked November 2026. Flat-rate pricing starts on Essentials, and the sales proposal tool is on Max. AI call answering and websites are add-ons without published prices. See our Housecall Pro pricing breakdown for full totals.
Contruva
Best for: painting companies with a crew that want estimating, scheduling, invoicing, phone answering and marketing in one flat price.
Contruva Pro is $249.99 CAD a month with no per-seat fees. Quotes are built from your price catalog (your rates, costs and markup) or drafted by Contruva AI from jobs you’ve already won. Customers see good-better-best packages and tick optional extras, request changes, sign on their phone and pay the deposit in one go, and follow-ups go out until they answer. Signed change orders are added to the bill. The crew app logs hours and photos, and job costing shows whether the job made what you quoted.
Beyond the estimate, the AI receptionist books estimate visits while you’re on a ladder, and Contruva builds your website, sends review requests and creates social posts from your before-and-after photos.
Where others are ahead: Contruva doesn’t have a dedicated painting production-rate engine like PaintScout, and it doesn’t offer consumer financing. Its trial is 7 days to everyone else’s 14. See the painting contractor software page for the full trade setup.
A spreadsheet
Best for: solo painters doing a handful of quotes a week.
A well-built spreadsheet with your production rates is accurate and free. Where it falls down is everything after the maths: it doesn’t send a branded proposal, collect a signature or deposit, remind you to follow up, or track crew hours against the estimate. When you notice quotes going out days late, that’s the time to move off it.
Which one should you pick?
PaintScout goes deepest on painting production rates and proposals.
Same-day quotes win more than perfect ones sent next week.
All the all-in-ones do this; check what it costs.
Contruva includes an AI receptionist; Jobber and Housecall Pro sell it as an add-on.
Per-seat fees add up; Contruva has none.
Whatever you trial, run the bedroom example above through it, send yourself the proposal on your phone, and time it. Then check our guide on following up on quotes without being pushy. When you’re ready, compare Contruva pricing and start a 7-day trial with no credit card.
