The bestHVAC softwarefor 2026.

Most “best HVAC software” lists are written by the vendors on them. This one shows the real prices, which tier the HVAC features sit on, and where each tool falls short.

The best HVAC software for a small business is the one that books every no-heat call, keeps your maintenance agreements on the calendar, and quotes replacements with options, without charging you more for every tech you add. For most owner-led shops the shortlist is Contruva, Housecall Pro and Jobber. For large multi-truck companies with an office team, it’s ServiceTitan and FieldEdge. Service Fusion and Workiz sit in between.

The catch is in the tiers. On several of these tools, the features an HVAC company actually lives on, like service agreements, multi-option quotes or advanced dispatch, sit on the middle or top plan. Every price below was checked on each company’s own pricing page in November 2026, and we say plainly where a price isn’t published.

What does HVAC software need to do?

Generic job software handles a lawn route fine. HVAC is harder, because the work comes in two shapes: emergency breakdowns that spike with the weather, and planned maintenance you have to book hundreds of times a year. Before you compare logos, check each tool against this list.

  • Peak-day call handling. The first heat wave or cold snap can bury your phone. Someone, or something, has to answer, ask whether the system is down completely, and book the call. A missed no-heat call is often a lost furnace sale.
  • Maintenance agreements. Spring AC checks and fall furnace tune-ups for every plan member, scheduled and billed without someone rebuilding them each season. Look for recurring visits tied to recurring invoices.
  • Good, better, best quotes. Replacement customers compare two or three quotes. Options with photos, e-signature and a deposit on the phone win more of them.
  • Equipment history. Rating plate photos, install dates and the tech’s notes on the customer, so you know which 18-year-old furnace to call about before winter.
  • A price book. Saved items for capacitors, contactors, filters and tune-up packages, so a tech can price a repair in the driveway.
  • Tech checklists. A tune-up checklist the tech follows on the phone, with readings and photos attached to the job.
  • Per-tech cost. Price it with next summer’s crew, not today’s. Per-user fees climb fast in a trade that hires for the season.

If you’re sizing equipment for those quotes, our BTU calculator gives a quick ballpark before you do a proper load calculation.

1. Contruva

Who it suits: owner-operators and small to mid-size HVAC companies that lose work to missed calls and slow follow-up, and want quotes, scheduling, tune-ups and payments in the same app.

Price: one plan with everything included and no per-seat pricing, so your whole crew gets the whole thing. See current pricing; it’s billed monthly or yearly, and every account starts with a 7-day free trial with no credit card.

The AI receptionist answers every call in your company’s name, asks about the system and the symptoms, and books real open slots, which matters most on the days your phone won’t stop. Each maintenance agreement is a recurring job with a recurring invoice, so spring and fall visits land on the calendar and bill on schedule. Quotes come from your price book with good, better and best options, photos, e-signature and a deposit. Techs follow checklists and attach photos in the crew app, and payments run through Stripe with no extra Contruva fee on top of standard card processing. You can also text Contruva AI to remind last year’s customers about fall furnace checks.

  • ✓ Call answering, website, reviews and marketing included in the one plan
  • ✓ No per-seat pricing as you add seasonal techs
  • ✓ Recurring tune-ups and invoices without a higher tier
  • ✕ No GPS fleet tracking or route optimization
  • ✕ No parts inventory or payroll
  • ✕ No consumer financing, and it isn’t accounting software

See how it’s set up for heating and cooling on our HVAC software page.

2. Housecall Pro

Who it suits: residential HVAC, plumbing and electrical companies that want booking, dispatch and consumer financing in a polished app.

Price (USD): Basic is $79 a month on monthly billing ($59 on annual) for 1 user, Essentials $189 ($149) for 5 users, and Max $329 ($299) for 8 users, with extra users at $35 a month on Max. There’s no long-term contract and a 14-day trial on Max.

Here’s the HVAC catch: recurring service plans, the feature maintenance agreements run on, are listed on Max only. QuickBooks Online sync and employee GPS tracking start at Essentials, and route optimization is Max. Its CSR AI add-on answers calls and chats, but no price was shown on the pricing page.

  • ✓ Published prices, no long-term contract
  • ✓ Price book and consumer financing from Basic
  • ✕ Service plans need the top tier
  • ✕ Per-user fee once you pass 8 users

More in Contruva vs Housecall Pro.

3. Jobber

Who it suits: small HVAC teams that want simple scheduling, quoting and invoicing from a widely used app.

Price (USD): Core is $49 a month for 1 user with no commitment ($29 on annual billing). Connect starts at $139, Grow at $199 and Plus at $499 for 5 users. Extra users are $29 a month. The AI Receptionist is a $29 add-on on every plan below Plus, and Marketing Suite ($99) and Pipeline ($49) are add-ons too. The trial is 14 days on Grow.

QuickBooks Online sync starts at Connect and job costing at Grow. Jobber’s pricing page doesn’t say how maintenance agreements are handled, so build one of your real plans during the trial before you commit.

  • ✓ Low entry price for a solo tech
  • ✓ QuickBooks Online sync from Connect
  • ✕ Per-user fees and add-ons stack up for a crew
  • ✕ Job costing only from Grow

4. ServiceTitan

Who it suits: large HVAC companies with many trucks, a dispatcher, a call centre and commissioned techs.

Price: not published. Every tier shows “Request Pricing”, and the page describes the model as per-technician pricing. Starter covers dispatch, scheduling, call booking, invoicing and a pricebook. Essentials adds mobile estimates and payroll. Customizable memberships, advanced reporting and commission tracking sit on The Works.

For a big shop, the reporting, memberships and commission tools are genuinely strong. For a company with three or four techs, it’s a lot of system to buy and set up. See our ServiceTitan pricing breakdown and ServiceTitan alternatives.

  • ✓ Deep reporting, payroll and commission tools
  • ✓ Pricebook and dispatch on every tier
  • ✕ No published price
  • ✕ Memberships only on the top tier

5. FieldEdge

Who it suits: established HVAC and plumbing shops that keep their books in QuickBooks and want service agreements and a flat-rate pricebook.

Price: not published; you request a quote, and the page says pricing varies with team size and add-ons. Its promotion refers to annual memberships, and there’s no free trial. The Select tier includes 2 mobile app licences, Premier 4 and Elite 6.

FieldEdge is one of the few built around HVAC from the start. A flat-rate pricebook and QuickBooks Online and Desktop integration are on every tier. Service agreements and dispatching are basic on Select and advanced from Premier, and multi-option quotes also start at Premier. Proposal Pro and MarketingEdge are add-ons below Elite.

  • ✓ Flat-rate pricebook and QuickBooks Desktop on every tier
  • ✓ Service agreements on every tier
  • ✕ No published price or free trial
  • ✕ Multi-option quotes need Premier

6. Service Fusion

Who it suits: growing HVAC teams that want to add techs without paying per user.

Price: Starter $245, Plus $382 and Pro $627 a month on monthly billing, or $208, $325 and $533 a month billed annually. The page uses “$” without naming a currency. Every plan has unlimited users and is month-to-month, with about 15% off annual. There’s a free demo rather than a free trial.

QuickBooks integration and estimates with options are on every plan. Inventory is an add-on on Starter, and GPS fleet tracking is an add-on on all plans. We didn’t see service agreements listed on the pricing page, so ask about them in the demo.

  • ✓ Unlimited users on every plan
  • ✓ No contract
  • ✕ Higher starting price than most
  • ✕ No free trial

7. Workiz

Who it suits: service companies that want a built-in phone system alongside scheduling.

Price: not published. All three plans (Standard, Pro and Ultimate) show “Request pricing”. There’s a 7-day free trial with no credit card. Recurring jobs, QuickBooks Online sync and fleet tracking are listed on every plan, while service plans are Ultimate only. Genius Answering is sold separately, with no price shown. More in our Workiz alternatives guide.

  • ✓ Recurring jobs and fleet tracking on every plan
  • ✓ Free trial, no credit card
  • ✕ No published price
  • ✕ Service plans only on Ultimate

Which HVAC software should you pick?

Match the tool to the size of the shop you’ll be next summer, not the one you are in January.

If you are…Look at
A solo tech who mostly needs quotes and invoicesJobber Core or Housecall Pro Basic
A 2 to 10 tech shop losing calls on peak days, with maintenance plans to runContruva
A residential shop that sells a lot of financed replacementsHousecall Pro
A growing team that wants unlimited users and can skip a trialService Fusion
An established shop running QuickBooks DesktopFieldEdge
A large operation with dispatchers, a call centre and commissionsServiceTitan

Two honest notes. If you need GPS fleet tracking, route optimization or parts inventory today, Contruva doesn’t do those, so look at Housecall Pro Max, Workiz or Service Fusion. And if your plans live in a spreadsheet, almost any of these beats that; the right one is the one your techs will actually open.

Price the real crew

Count every tech, installer and office person who needs a login next season, then add the call answering and marketing you’d pay for separately. A tool that looks cheaper per month can cost more once users and add-ons are in.

How to test HVAC software in one week

Day 1
Load ten plan members.

Add real maintenance agreements as recurring visits with invoices. If it’s painful for ten, it will be painful for four hundred.

Day 2
Build a replacement quote.

Good, better and best, with photos. Send it to yourself and sign it on your phone.

Day 3
Call your own number at 10 p.m.

Does it get answered, and does a booking land on the calendar?

Day 4
Run a tech’s tune-up.

Clock in, follow the checklist, photo the rating plate, close the job and take payment.

Day 5
Check the bill.

Price it with next year’s headcount and every add-on you’d need.

If you want one app that answers the phone, quotes the heat pump, books the tune-up and gets you paid, try Contruva on your own calls. See the HVAC page, the scheduling calendar and pricing. It’s free for 7 days, no credit card. Running a Canadian shop? Quotes show HST or GST under the subtotal, and you can be billed in Canadian dollars.

What is the best HVAC software for a small business?

For most small HVAC companies the shortlist is Contruva, Housecall Pro and Jobber. Contruva includes an AI receptionist and recurring maintenance visits with no per-seat pricing; Housecall Pro and Jobber publish low entry prices but put service plans or job costing on higher tiers.

What software do most large HVAC companies use?

Large HVAC operations with dispatchers and call centres often look at ServiceTitan or FieldEdge. Neither publishes a price, so you’ll need a quote.

How much does HVAC software cost?

When we checked in November 2026, entry plans started at $49 USD a month for Jobber Core and $79 USD a month for Housecall Pro Basic, while ServiceTitan, FieldEdge and Workiz didn’t publish prices. Per-user fees and add-ons usually raise the total for a crew.

Which HVAC software handles maintenance agreements?

Contruva handles them as recurring jobs with recurring invoices on its one plan. Housecall Pro lists recurring service plans on Max, ServiceTitan lists memberships on The Works, and FieldEdge includes service agreements on every tier.

Is ServiceTitan worth it for a small HVAC business?

It can be if you’re growing fast and need deep reporting and commission tools, but its pricing is quote-only and per technician. Most shops with a handful of techs find a simpler tool covers what they need.

Is there free HVAC software?

None of the seven here has a free plan. Contruva, Housecall Pro, Jobber and Workiz offer free trials, while FieldEdge and Service Fusion offer demos instead.

Does Contruva have GPS tracking for HVAC trucks?

No. Contruva doesn’t do GPS fleet tracking, route optimization or parts inventory. Techs clock in through the crew app and you see every job on the calendar.
